Users

Users are managed either within the fSeries database (with Forms authentication method) or in a third party Authentication Platform (e.g. Auth0). A system level setting determines whether personal data is held on the fSeries database. By default this is not the case but can be switched on if required.

The opening page of the Users sub-system provides a search of users in order to find and manage a user. Enter either a User Id (exact match), or Name and/or Email (with * wildcards) to narrow the search. In addition, include only certain roles by checking those you require. If the APIs module is activated you can also select only fSeries API Users; if the External module is also activated you can designate the user as coming from an external system.

A list of matching users is displayed from which one may be selected. If only one if found, that user's details open automatically.

Note that in some setups only the User Id option is available.

Click “Download” to obtain a CSV of users. Users may be filtered by their roles.

From this page, click "New User“ to add a new user. You can also use the “Import” options to download and import user details.

Roles

These are the fSeries roles for the user. Check the roles that apply:

  • User - can view and generate outputs
  • fAdmin - can enter the admin section and manage all admin areas
  • fData - can create and manage data access (DSDs)
  • fDocs - can create and manage fDocs templates
  • fSheets - can create and manage fSheets templates
  • fPanels - can create and manage all aspects of dashboards and their contents
  • Processes - can create and manage process set ups
  • APIs - can create and manage API access to data and documents
  • Processor - can action processes

Groups and Teams

Groups and teams are used to control access to outputs. First add the user to a group (or no group at all). The teams applicable to the selected group will be displayed from which you may check all those of which the user is a member.

Access Roles

Access roles are roles that you can create and allocate to users in order to secure outputs and data. Check all those that apply to the user.

User Keys

These are used to record key values for other sources which may then be used to identify this user when gathering data from those sources. They are accessible with the UserKey function. Each key has a Source Id and a Value.

A good example of a user key is where you have several data sources and the user is identified in each by a different user id. You may then need to pass the appropriate value to each data source (as a parameter or within a SQL query) in order to identify the user for security purposes. Add the source id/value here and the use the =UserKey(SourceId) function to retrieve the appropriate value.

Block / Unblock

A user may be blocked from access to your account. Their records are maintained but the user may not log in to the account. At any time they may be unblocked to restore their access to the account.

Remove

This option will confirm that you wish to remove the user. Continuing will remove the user from your account and cannot be undone.

API Credentials

If the APIs module is activated and the user is designated as an fSeries API User (allowing them remote access to selected data and documents) this option lets you enter/retrieve their password which is required to obtain a token for short term access.

Use Log

If the fAdmin Setting “User Usage Analysis Link” has been set then users with the fAdmin user role may open link to a fSeries menu or dashboard for further detailed analysis of user' activity.
